Get your team using the same job information
A practical systems handover for electrical firms with a few engineers: clear job stages, useful templates and training around real work.
Follow one job from enquiry to payment
Choose a normal completed job and walk through it with the people who handled it. Where did the customer details arrive? Who booked the visit? Where were the notes, quote, materials and certificate kept?
Write down each handover that depended on somebody remembering to tell you. Those are the gaps to fix before linking systems. Start with the way the team works, then agree where each piece of information belongs.
Give each stage an owner and a finish
“Job done” means different things to different people. An engineer may mean the site work is complete. The desk may still need job notes, an approved certificate or a purchase order before it can send the invoice.
- Enquiry: enough details collected for the next decision.
- Quote: current version approved, sent and given a next action.
- Booking: date and access confirmed with the customer.
- Site work: completion status, notes and materials recorded.
- Paperwork: responsible electrician approves the technical record.
- Invoice: agreed amount and customer reference checked before sending.
Build templates around those handovers
Keep the required fields short enough that people actually fill them in. A job completion template might ask for work done, materials used, variations agreed and anything still outstanding.
Use the same job reference across customer, quote, order and invoice records. Agree which record is authoritative when details change. A connection should update the intended job, not create another copy of it.
Give people the access they need
Use individual accounts where supported. Give the desk the permissions needed for agreed admin and keep price changes, technical approval and account administration restricted appropriately.
Enable stronger sign-in protection and remove access when a person leaves. The NCSC advises limiting permissions to what the role needs. Keep a record of who can change or send information.
Train with the awkward jobs as well
Show each person their own daily tasks, then have them work through a test job. Include a changed booking, missing notes, a cancelled quote and a payment that arrives before a reminder.
Keep a short instruction sheet beside the task. Record who handles failures and how the work continues manually if a connection is unavailable. Review the first few real jobs together and change the instructions when they are unclear.
Start this week with one handover. Agree its owner, required information and finishing point. The Admin Handover Pack gives you a worksheet to write it down.
