How to keep renewals out of your head and in the diary
A practical renewal routine for EICRs, equipment checks, van dates, insurance and assessments. Record the right date, owner and next action.
Give each reminder a job to do
A reminder that says “insurance” is easy to dismiss when you are halfway through a job. I would rather see “send this year’s turnover and work details to the broker” with a date and somebody responsible for doing it.
Start with the renewals that would cause a real problem if they slipped: your cover, van dates, assessment preparation and equipment arrangements. Then add customer work you have agreed to follow up. Keep your own business dates and customer reminders in separate views so one does not bury the other.
Use the actual requirement, not a standard guess
For rented homes in England, the government guidance requires electrical installation inspection and testing at least every five years. Where a report specifies a shorter interval, use that interval. Do not apply the England rules automatically to properties elsewhere in the UK: record the jurisdiction and check the relevant requirements.
PAT is not automatically an annual legal requirement. HSE explains that inspection and testing frequency depends on the equipment and how and where it is used. Record the agreed maintenance arrangement and its basis. An admin reminder should carry that decision forward, rather than make it.
For your van, policy, assessment or calibration, take the date from the actual record, provider or scheme arrangement. If you cannot establish it, mark it for checking. An invented date looks organised until it sends somebody the wrong message.
Keep a record somebody else can work from
One row per property, vehicle, policy or equipment group is enough to start. Use a reference that stays the same when the contact person changes. Attach or link the record you took the date from.
Keep the due date separate from the date you plan to contact someone. You may need time to prepare documents, arrange access or compare renewal options. Decide that lead time around the actual job.
- What is due, with the property, van or equipment reference.
- The due date and where it came from.
- Who owns the decision and who does the admin.
- When to take the first action and what that action is.
- The contact or provider, plus access arrangements where needed.
- Current status: to check, contact due, awaiting reply, booked or completed.
Ask about a booking without claiming one exists
When it is time to contact a customer, check that you still have the right person and that your date is current. A reminder is an invitation to arrange the work. It is not permission to put a visit in the diary.
Once they agree, confirm the date, address, access and any preparation. Stop the old follow-up messages. If another contractor has done the work, record that and update your list instead of carrying on chasing.
Hi [name], our record for [property] shows the next electrical inspection is due by [date], based on [report reference]. Would you like us to arrange it? If the details have changed or the work has already been done, let me know and I’ll update our record.
Review the next few weeks once a week
Make the review short enough to do on a busy week. Look for dates coming up, unanswered messages and anything marked “to check”. Give each open item a next action and a named owner.
An illustrative example: a van service is due next month. The next action might be to check the service record and ask the garage for available slots this week. The reminder is complete when somebody has handled that action; the service remains open until the work is done.
Close the loop after the work
Keep the completed record, confirm any paperwork has reached the right person and enter the next date from the new information. Do not simply add a year to the old date because that was the last reminder.
This is admin we can run for you. You remain responsible for technical decisions and the dates or requirements that need your judgement. I want the desk to tell you what needs attention, without making you search through last year’s emails.
