When should an electrician get help with the admin?
Practical signs that admin support could help, and what to prepare before handing over enquiries, quotes and invoices.
Look at what is waiting
Start with the work that is slipping. Are enquiries waiting for replies? Are quotes still in your notes? Are completed jobs waiting to be invoiced? Those are specific tasks you can hand over and measure.
A busy week on its own does not tell you what support to buy. Keep a short record of the admin you do, how often it appears and what happens when it is delayed.
Choose a task with a clear finish
“Sort the office out” is hard to hand over. “Prepare the invoice when I mark the job complete, then send it after approval” is much clearer.
Start with something repeated enough to be useful. Write down what starts the task, what information is needed, what needs your approval and what counts as finished.
- Customer messages: which inboxes, what response and when to ask you.
- Quotes: the job notes, pricing rules and approval process.
- Invoices: completion confirmation, agreed amounts and payment records.
- Diary: available slots, travel limits and booking permissions.
Keep your decisions, hand over the chasing
You remain responsible for electrical work, design decisions and certificate sign-off. Support should make it easier to make those decisions by bringing the right information together.
Agree boundaries before work starts. Who can change a price? Who can confirm a date? What happens if a customer complains? Clear permissions prevent an admin handover becoming a new management problem.
Compare the actual help you need
A regular employee, outside admin support and a better automated process solve different needs. Compare them using the same workload and responsibilities. Include the time needed to recruit, train and manage somebody, as well as any equipment and cover arrangements.
There is no honest universal saving percentage without specifying what is being compared. A small amount of monthly support is not equivalent to a full-time office role.
Agree how you will know it is working
Record a starting point: outstanding quotes, unbilled jobs, overdue invoices and the admin still landing with you. Review the same measures after the handover.
For Stacked Out, we record starting figures in week one and track the agreed work and results each month. The service starts from £169 a month, with no setup fee and a rolling monthly agreement. The full three-month refund promise is explained in the terms.
