EV charger grants: keep the claim paperwork with the job

Check the current grant route, collect the required evidence on site and keep the application, claim and payment statuses separate.

Name the exact scheme on the job

“EV grant” is not enough information for a handover. Record the scheme, applicant and the current guidance you are using before describing a grant in a quote.

OZEV changed its grant portfolio and claim processes from April 2026. The current installer guidance requires an authorised installer and eligible equipment. Do not reuse an old claim checklist without checking the scheme and the customer’s circumstances.

The current guidance also lists closed routes. Do not quote from an old staff-and-fleets, commercial-landlord or infrastructure checklist as though it is a current open scheme. Check the exact route before promising a customer grant support.

Keep the application and installer claim separate

For the renters, flat owners and residential landlord routes described in current guidance, the customer applies and eligibility is confirmed before the installer follows the installation and claim steps. Workplace charging has a different process. Follow the instructions for the particular scheme rather than treating a customer enquiry as an approved grant.

I would keep separate fields for application reference, eligibility confirmation, installation status, claim submission and payment. That makes it possible to answer a customer without reading the whole message history.

Collect the evidence while you are on site

Check the current scheme’s evidence list before the visit. For the flats, renters and landlord chargepoint claims, the guidance specifies photographs including the installed charger, its model and serial number, its parking space and the wider setting.

Give the engineer a job-specific photo list. Check that labels can be read before leaving. Save the files with the correct job rather than hunting through somebody’s personal photo library at claim time.

  • Exact scheme and current evidence checklist.
  • Equipment details matched to the supplied and installed model.
  • Required photographs, checked for readability and correct property.
  • The invoice and any other requested supporting information.
  • Who checks the claim and who is authorised to submit it.
  • Submission reference, later queries and payment status.

Record a query before chasing it

If more information is requested, record the actual request and deadline. Put technical or eligibility questions in front of the responsible installer. The desk can gather the missing documents and keep the next action visible.

Keep the submitted evidence and later replies together. A submission receipt is not proof the claim is approved or paid, and admin support cannot guarantee a grant award.

Before the engineer leaves site

Use a short record with the actual job reference, the missing information and a named owner. The example below shows the structure; replace every placeholder with the checked job details.

Invented admin example Job: [reference] Scheme: [confirmed current scheme] Blocker: model/serial-number photo cannot be read Owner: engineer to retake it before leaving Desk action: compare equipment details with the approved claim information, then prepare the evidence for authorised review Status: evidence incomplete; no claim payment recorded

Start with one claim handover

Use the Admin Handover Pack to write down what the engineer brings back, what the desk prepares and which approvals stay with you. Include the rule for an incomplete photo or mismatched model.

We can keep the paperwork and queries moving in your business name. You remain responsible for the installation and the declarations you approve. Check the current official guidance whenever the scheme or customer type changes.
